President Barbara Gillum presided.  She reviewed the committees she has planned to coordinate reunion events.  The proposed list of Committee Chairs is as follows: 

Friday night mixer:  Royse Reagan

Breakfast:  Carolyn Howard

Door - tickets sales/dues/donations:  Angela Sullivan and Sheila Underwood

Saturday mid-day banquet:  Suggestions are Connie Dillon, Grace Thorn, or Laura Jackson.

 

It was discussed that whoever engages the caterer for the event needs to compare prices to ensure we are paying a competitive rate per plate.  The decision making process of choosing a caterer should be documented in writing to satisfy our Bylaws.  There was also continued discussion of a different table arrangement to facilitate hearing of the emcee.  The proposed timetable for the event is for the activities to begin at the school around 1:30.  Graduates, oldest graduate, graduate traveling the farthest will be recognized.  The memorial list will be read.  Officers of the Association will be elected.  There will be brief entertainment, then the meal will be served around 2:00 or 2:15.

 

 

MOTION:  A motion was made and passed that there will be no speaker at the banquet.

MOTION:  A motion was made and passed that the dues will be increased from $5 to $10 since it is for a period of 2 years.  Any funds collected for dues or ticket sales that are not needed for operating and banquet expenses will be added to the scholarship fund.

 

Barbara Gillum would like to get the letter/invitation out to everyone around June 5th or 6th so that everyone has notice of the changes for this year's event.  Loretta Corley will prepare a draft version of the letter for presentation at the next meeting.  She will also provide Barbara an estimate of the number of stamped envelopes that the post office will need to order for us.

 

NEXT MEEETING:  The date of the next meeting with be May 16th, 2011, at 6:30 p.m. at the Ryan Senior and Community Center.
